All applicants must fully complete the online application form, pay the nominated fee and agree to the participant agreement before their entry is accepted.

The Event Crew PTY LTD (TEC) reserves the right, in its reasonable discretion, to deny or disqualify any person from participating or continuing in the Event (either before or during the Event). In these circumstances, TEC will refund the person’s entry fees EXCEPT where the person has:

(a) Misrepresented their eligibility to participate in the Event at the time of entry; or

(b) Breached any of the conditions of entry set out in this Form or fail to comply with any event organises directions or instructions.

Entry fees & registrations are non-transferable from one competitor to another or from one event to another unless by the process outlined below. It is forbidden to participate in an event under another competitor’s name. Competitors that do not obey this rule waive all insurance coverage and put other competitors at risk.

By entering participants acknowledge that participation involves the real risk of serious injury or even death from various causes including over exertion, on and off course accidents, equipment failure, other road users, spectators, course conditions, weather conditions and/or unforeseen circumstances.  All entrants understand that they should not compete in this event unless they have trained the necessary amount and a medical practitioner has verified suitable physical condition. It is each entrants sole responsibility to ensure such training and medical verification.   Entrants also acknowledge that the leading cause (more than 90%) of non-traumatic sudden death of athletes is related to a pre-existing cardiac abnormality.

By entering this event and competing, participants accept all risks associated from participation that could result in loss of life or permanent injury and also agree that The Event Crew is not responsible or liable for the repair or replacement of any personal possessions whether lost, damaged, stolen or otherwise. Accordingly, you release all people associated with the conduct of this event from and waive all claims whatsoever, and will indemnify them against all liability (including liability for their negligence) for all injury, loss, damage arising out of or connected with my participation in this event. The aforesaid release, waiver, indemnity applies to and includes the people such as, but are not limited to The Event Crew Pty Ltd, Sunshine Coast Council, Gold Coast City Council, Redlands City Council, Town of Cambridge, Nedlands Council, Sleeman Sports Centre, Runaway Bay Sports Super Centre, Parks Victoria, contracted companies and all public authorities, all employees, agents, sponsors, contractors and volunteers, and other competitors including medical and paramedical staff. This release, waiver and indemnity continue forever and bind my heirs, executors and personal representatives.

Where a person enters a team (including a Bring Your Bestie team), they acknowledge that they have sought approval from that person(s) and that the additional person(s) are aware of an understand that by entering this event and competing that they have also accepted these full terms and conditions also.

I consent to receive any medical treatment the event medical team and/or event organiser believes appropriate in the circumstances before, during or after the event.

Entrants consent to the event organisers adding my email address to the event eNews and agree to receive emails up to the date of my event. After which time I can choose to unsubscribe from further emails by using the link within the emails.

Entrants acknowledge and understand that safety precautions undertaken at the event are merely a service to me but are not a guarantee of safety.

I will provide event organisers in writing all details of my past and present medical or physical conditions that may affect my performance or be relevant if medical treatment is necessary.

I consent to event organisers using my name, image and likeness, before, during or after the event for event promotional broadcasting or reporting purposes in any media.

Entrants hereby agree that in the event of a race cancellation due to storm, rain, inclement weather, winds or other “Act of God” conditions, my entry fee shall be non-refundable.


Incomplete entries or declined payment transactions may incur additional administrative fees.

Method of Entry

Race entry via secure online registration only.

Event Sell Out

In the case of total event sell out, a notification will appear on the event website. No prior warning may be issued.


  • COVID19 illness related transfers (only) are allowed in race week with a medical certificate.  No other transfers are available in race week.
  • All transfers are subject to availability.
  • Transfers will only be done to other events within the same season and can’t be carried forward to other seasons.
  • Distance change no admin fee, price difference in distance only if applicable.
  • No partial refunds on distance change.
  • Transfers are allowed to other people up to two weeks prior and will incur a $15 admin fee – no transfers after this time.  This must be arranged by emailing

Refund  / Cancellation Fees

The following refund fees are applicable for cancellations, depending on when the request is received.

  • 75% refund if advised 4 or more weeks out from your scheduled event
  • 50% refund if advised 2 weeks out from your scheduled event
  • No refunds within 2 weeks of the event
  • No refunds on Series Pass or Multi Event / discounted entries

Special Terms and Conditions  – COVID19

If you exhibit COVID like symptoms in race week, please stay home.  We will happily organise a transfer to another event within the current season provided you have a medical certificate.

For entries May-December 2020. Event date changes may be given for events up to 1 month prior.  In the event of cancellation or date change due to health directives all paid entrants will have the option of a full transfer to any other event run by The Event Crew including the new date OR a full refund less any online booking or credit card fees.

For Entries into Events Impacted by COVID19 during March & April 2020. Conditions apply as per ACCC rules for vouchers or entry transfer for those events.
